Gravure Ink, a Division of Patrick Industries, is growing and hiring an Office Manager to join their team based out of La Porte, Indiana. The Office Manager will work closely with different departments including Operations, Sales, Management, and Customer Service to create and prioritize administrative duties according to Customer needs and changing deadlines.

 

Responsibilities and Duties:

In this exciting position, the Office Manager will be customer facing and work to support Departments throughout the Manufacturing facility. The ideal candidate will be able to adapt to changing priorities throughout the day and will work closely with the Production Supervisor and Staff to help fulfill administrative duties such as but not limited to:

 

  • Entering Customer orders accurately and timely into the ERP system
  • Working with Customers, Sales and Manufacturing to communicate concerns and address any problems that may arise
  • Tracking and communicating with customers in regard to orders
  • Greet visitors and directing them to the relevant office/personnel
  • Coordinate office activities and operations to ensure efficiency and compliance to company policies
  • Accurately track shipping and receiving documents and order entries
  • Ensure databases are kept up to date
  • Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking
  • Carrying out clerical duties including answering phone, responding to emails, and preparing documents
  • Production Scheduler – responsible for order entry & production scheduling
  • Procurement specialist – help drive the efficiencies of procurement through an Inventory Management System. Responsible for all purchases and really drive our ERP system to create a solid part set up system that aligns with our IMS. you will work closely with leadership to formulate a plan of execution.
  • Performing other relevant duties when needed

 

Qualifications and Skills:

  • 3+ years of experience of office administration
  • Experience working with Microsoft Dynamics AX, or similar software is highly desired
  • Must be able to conduct self in a positive and professional manner
  • Self-motivated with the ability to prioritize multiple projects under tight deadlines and work independently with little to no oversight
  • Ability to prioritize work tasks, multi-task, set priorities and stay focused
  • Must be able to work in a team environment
  • Strong accountability and follow-through skills
  • A high level of personal integrity (self-esteem, confidence, honesty, and respect) are necessary qualities
  • Ability to maintain poise when dealing with difficult situations
